Optional group measures help you understand group business that is being held or has been booked but is not yet confirmed. Using these measures alongside Group Name, Group Code, Group Availability, and Group Deduction Status gives you a clearer view of potential group demand without adding it to confirmed occupancy.

This article explains where to find optional group data, how groups and bookings relate to one another, and why optional units can appear across different availability and deduction statuses.

A Group is the overall piece of group business recorded in your property management system (PMS). Insights identifies it using Group Name and Group Code.

A Group may contain one or more underlying blocks of inventory. Each block applies to one inventory type over a defined date range. Individual bookings can then be picked up against the inventory held within those blocks.

Insights does not provide a separate field for selecting an individual block. When a Group contains only one block, Group Name and Group Code effectively identify that block. When a Group contains several blocks, their data is reported under the same Group Name and Group Code.

The following fields are available under Group in both the Bookings and Pick-up topics:

These fields describe different aspects of the same Group business. Consider them together rather than treating them as interchangeable statuses.

Not Picked Up represents inventory still held within a Group block. No individual PMS booking has yet been picked up against that inventory.

Picked Up represents actual bookings created in the PMS against the Group's held inventory.

Picking up a booking does not necessarily mean that it is confirmed. A picked-up booking may still be unconfirmed or may have been created against an optional block. This is why Optional Units can appear under both Picked Up and Not Picked Up.

In the Bookings topic:

The corresponding optional revenue measures include Optional Accom. Revenue and Optional Total Revenue.

Optional revenue in Insights is net only, excluding taxes. The Revenue Selector (Net/Gross) does not change optional revenue.

Group Deduction Status shows one current, rolled-up status for the Group Name. It does not show the Group's status history or provide a separate status for each underlying block.

If any underlying block is deducting, the entire Group is shown as Deduct. For example, if four of a Group's five blocks are non-deducting and one block is deducting, Group Deduction Status shows Deduct for that Group Name.

If no underlying block is deducting, the Group can be shown as Non-Deduct. Cancelled represents cancelled Group business, while Non-Block identifies bookings that are not associated with Group-block inventory.

Because Insights does not expose a separate block identifier, Group Deduction Status does not show which individual block caused the Group to roll up as Deduct. A Group's individual bookings can also have a different confirmation status from the block against which they were created.

As a result, you may see:

These combinations are not necessarily contradictory. They reflect the deduct-dominant Group roll-up, the Group's underlying blocks, and the individual bookings picked up against them.

This example aggregates data from many Groups. Each row represents the current rolled-up Group Deduction Status, while the values are divided by Group Availability and then by Units or Optional Units. It should not be read as several blocks belonging to one Group.

The key point is that Group Deduction Status, Group Availability, and the confirmed or optional measure are separate pieces of information. A Deduct row does not mean every underlying block or booking is confirmed, and a Non-Deduct row does not mean that no individual bookings have been confirmed.

If you add Group Availability to a query, the same Group Name may appear once for Picked Up and once for Not Picked Up. Each row represents a different availability value; it does not represent a duplicate Group.

Adding Group Deduction Status does not separate the Group into its individual block statuses. The same current rolled-up deduction status is applied to the Group Name, and you cannot select the contributing blocks separately.

Use the Bookings topic with Group Name, Group Code, Group Availability, Group Deduction Status, Units, Optional Units, Optional Accom. Revenue, and Optional Total Revenue.

Use the Pick-up topic with Optional Units Pick-up, Optional Accom. Revenue Pick-up, and Optional Total Revenue Pick-up.

Pick-up measures represent the net change caused by records being created, updated, or cancelled on the selected Update Date. They should not be interpreted as the current total held by the Group.
