When you see an occupancy figure in FLYR that doesn't match your PMS, the most common reason is that the two systems are using different definitions of "capacity." FLYR supports two occupancy calculation methods, and it's important to understand which one you're using before drawing any conclusions.
Physical Occupancy is calculated as units sold divided by your total physical room count — every room in the building, regardless of status. This is typically what your PMS reports as "total occupancy" and is the right comparison point if you want to align with your PMS figures.
Bookable Occupancy is calculated as the total physical room count minus Out of Order (OOO) rooms, divided by the number of sold units. This method excludes OOO rooms from the denominator, ensuring that only bookable rooms are considered in the calculation.its.
For example, if a property has 146 total rooms but one room is marked as OOO, the bookable occupancy calculation would use 145 rooms as the base instead of 146. This ensures that the occupancy percentage reflects only the rooms available for booking.
To switch between the two in Insights, use the occupancy filter or capacity setting within the relevant report.
In the Pricing calendar, bookable capacity is used by defau When rooms are marked as OOO in the PMS, the planning system automatically adjusts the budget distribution to exclude these rooms from the total capacity. This ensures that the budget reflects the operational capacity of the property and avoids overestimating revenue potential.lt.
If you are comparing FLYR to your PMS and seeing a difference, the first step is to confirm you are comparing like for like — physical to physical, or bookable to bookable. If the figures still don't align after this check, please reach out to our support team with a screenshot and the specific date range in question. To minimize discrepancies, ensure that both systems use the same base for occupancy calculations by aligning settings to either include or exclude OOO rooms consistently. Regularly auditing system settings can also help maintain accuracy.
