Upload User Forecasts and Budgets into Planning

This article walks you through how to upload data into Planning.

Ready to align your planning data with FLYR’s powerful analytics? Whether you are onboarding or preparing your User Forecasts and Budgets outside of FLYR, this article will guide you through uploading your figures directly into Planning, so your data is accurately reflected in all of the platform's insights.

How to Upload Planning Data

  1. Navigate to Planning Upload

    Go to Settings > Planning Upload in the side navigation.

  2. Download the template

    1. Select Planning Upload and click Download Template

    2. Review the Instructions tab carefully

    3. Enter your overnight data into the Data - Overnight tab

    4. If applicable, enter your additional accommodation revenue into the Data - Additional Accom. tab. Total accommodation revenue is the sum of overnight and additional revenue figures provided.

  3. Upload your file

    Click on Planning Upload, select New Upload and complete the form:

    1. File Type - select between the four options of Budgets Daily, Budgets Monthly, Forecast Daily and Forecast Monthly

    2. Version Type - choose Locked or Rolling

      • Locked versions are committed values and used throughout analytics

      • Rolling versions allow updates of figures in Planning until finalized and locked

    3. Version Title & Description - provide a clear title and description

    4. File Upload - attach your completed template

4. Review upload status

  • Once uploaded, the file appears in the Data Upload table with details on type, file, user, date, and status

  • Successful uploads can be expanded to view property and period updated

  • If errors are found, FLYR provides a full error log with type and location so you can correct and re-upload


Template Requirements

The template contains two data tabs - Data - Overnight and Data - Additional Accom. These always capture separate figures and must not be mixed. See below for the required fields in each.

Data - Overnight

Format

Property Name

Name of the property the data refers to. Must match the name used in FLYR exactly.

Text, must match FLYR property name exactly (case-sensitive)

Date

The date for which you are submitting the forecast or budget.
• For daily data: enter each day (e.g., 2026-03-15)
• For monthly data: use the first day of the month (e.g., 2026-03-01)

Format: YYYY-MM-DD (e.g., 2026-03-15)

Segment

The specific segment for the forecast/budget (if applicable). Use FLYR segment names for that property. Leave blank if not using segments.

Text, optional; must match FLYR segment name if used (case-sensitive)

Units

Number of forecasted or budgeted units (e.g., room nights) for the given date (and segment, if applicable).

Whole number ≥ 0; no decimals; no thousands separator (e.g., 1234)

ADR (Overnight)

The average overnight daily rate only. Do not include no-shows, early check-ins, day use, or any other additional accommodation revenue here - those belong in the Data - Additional Accom. tab.

Number ≥ 0; up to 2 decimal places; no thousands separator (e.g., 1234.50)

⚠️ Important note - ADR (Overnight) captures your overnight rate only. Your Overnight Accommodation Revenue is calculated as Units × ADR. Additional revenue items such as no-shows, day use, or early departure fees must be entered in the Data - Additional Accom. tab, not in Data - Overnight.

Format

Property Name

Name of the property the data refers to. Must match the name used in FLYR exactly.

Text, must match FLYR property name exactly (case-sensitive)

Date

The date for which you are submitting the forecast or budget.
• For daily data: enter each day (e.g., 2026-03-15)
• For monthly data: use the first day of the month (e.g., 2026-03-01)

Format: YYYY-MM-DD (e.g., 2026-03-15)

Segment

The specific segment for the forecast/budget (if applicable). Use FLYR segment names for that property. Leave blank if not using segments.

Text, optional; must match FLYR segment name if used (case-sensitive)

Revenue - Additional Accom.

The total additional accommodation revenue for the given date and segment - covering items like no-shows, day use, and cancellation or early departure fees. This is a revenue value, not a rate.

Number; up to 2 decimal places; no thousands separator. Values can be negative.

⚠️ A Few Things to Keep in Mind

  • Do not mix segmented and non-segmented data for the same property.

  • Each file is limited to 50,000 rows.

  • Missing dates in daily uploads are treated as 0 Units and 0 ADR for overnight, and 0 revenue for additional accommodation.

  • Overnight and Additional Accom. data can have different granularities - for example, overnight by day and additional at month level. If this is the case, ensure all days within the month are included in the overnight tab.

  • If data is not provided at the lowest granularity (i.e. by day and segment), FLYR will automatically distribute the data to day and segment level.

  • Do not upload overnight revenues in the Data - Additional Accom. tab


❓ Frequently Asked Questions (FAQ)

Q: Can I upload multiple versions for the same property?

Yes. Each file creates a new version. Use the version title and description to keep track.

Q: What if my file has formatting errors?

You will get a detailed error log with the type of error and location. Fix the issues and re-upload.

Q: How do I make adjustments after uploading?

Upload as a Rolling version if you plan to make edits. Once finalized, remember to lock the final version.

Q: When will my data be available in FLYR?

Your uploaded figures will be visible in the Planning immediately after the upload is complete.

For analytics, in both Home and Insights, locked forecasts and budgets are updated on an hourly basis.

Q: Do I have to include Additional Accom. data in every upload? No. The Data - Additional Accom. tab is optional.

Q: Can overnight and additional accommodation data have different date granularities? Yes. You can upload overnight data by day and additional accommodation at month level in the same file. If you do this, ensure all days within the month are included in the overnight tab.
