How to Manage Inventory Type Changes in FLYR

If you're making changes to your inventory setup in your Property Management System (PMS)—whether adding new units, adjusting capacities, or deactivating an inventory type—it's important that these updates are accurately reflected in FLYR. The correct inventory data allows our pricing engine to make precise and effective decisions.

Thanks to our integration, most changes will automatically sync with FLYR during a daily inventory sync. However, in some cases, a few extra steps may be required to ensure everything is working as expected.


➕ Creating a New Inventory Type

If you're adding a new inventory type in your PMS:

  • It will automatically sync to FLYR during our daily inventory sync—you’ll likely need to wait 24 hours for it to appear in FLYR.

  • Once the new inventory type is visible in FLYR, you must map the base rate and any derived rates you've set up in FLYR. This will enable us to push rates for this inventory type to the PMS.

To do this:

  1. Navigate to Settings > Rate Types > Mapping in FLYR.

  2. Map your base rate to the new inventory type.

⚠️ If your new inventory type is virtual, it will not appear in your optimisation calendar. We automatically convert bookings and prices for virtual inventory to their physical counterparts based on your PMS settings. If you use a PMS that requires manual mapping due to integration limitations, please contact us to request mapping for your virtual inventory types.

🔄 Changing Inventory Count

If you’re updating the number of units for an existing inventory type:

  • This change will automatically push through to FLYR during our daily sync.

  • Allow 24 hours for the updated count to reflect in FLYR.

  • You can verify this under Settings > Inventory or in Insights using the Capacity field.

🧠 Keep in mind: Whether historical or future data reflects these changes depends on how your PMS manages inventory allocation.

If you notice any discrepancies in rooms left to sell, capacity, or OTB (on-the-books) between your PMS and FLYR:

  • Please reach out to us via the support chat including a screenshot showing the differences in capacity or inventory between systems. We'll investigate and determine if further syncing or adjustments are needed.


🚫 Deactivating an Inventory Type

If you're deactivating an inventory type (i.e., setting its capacity to 0 in your PMS):

  • FLYR will automatically hide the inventory type during our next daily sync.

  • Allow 24 hours for the change to take effect.

🔍 Important to note:

  • When an inventory type is hidden, any historical data linked to it may also be hidden from your reporting in FLYR.

  • If you need this historical data visible, contact us via the support chat, and we’ll assist in restoring this.

⏱ If the inventory type is still showing in FLYR after 24 hours of deactivating from your PMS, please:

  1. Reach out via the support chat with a screenshot from your PMS showing the zero capacity and the deactivated inventory type and we’ll investigate further.


📊 Tracking Historical Capacity in Insights

In Insights, you can track the historical capacity of both physical and bookable rooms by inventory type. This ensures we’re displaying accurate occupancy percentages across historical dates.

If you notice any discrepancies or suspect the data might be incorrect, reach out to us via the support chat so we can verify and correct any issues.
