How to Upload and Use an External RMS Forecast

Learn how to upload your RMS forecast in FLYR and benchmark performance and your user forecast.

If your team works with a forecast from an external Revenue Management System, you can now bring that data into FLYR Hospitality. Once uploaded, your External RMS Forecast appears in Planning, Home, and Insights alongside FLYR's AI Forecast, giving you a single place to review, compare, and plan across all your forecast sources.


What is the External RMS Forecast?

The External RMS Forecast is a dedicated forecast type in FLYR that holds your RMS forecast data generated outside of FLYR. It is stored separately from both FLYR's AI Forecast and your User Forecast, so all three sources stay clearly distinct and easy to compare.

Once uploaded, your External RMS Forecast:

  • Appears in Planning, Home, and Insights alongside FLYR's AI Forecast, so you can benchmark Revenue, ADR, and Occupancy across forecast sources in one view.

  • Stays current automatically - past dates are actualized, just like FLYR's AI Forecast. No manual updates needed.

  • Maintains a single active version - uploading a new file updates the current one, ensuring your figures are always up-to-date and consistent.


Before You Upload

Download the template

Use the dedicated External RMS Forecast template to prepare your data - navigate to Settings -> Planning Upload -> Download External RMS Template.

Note: This is a separate template from the User Forecast and Budget template. Review the Instructions tab carefully before filling in your data.

Understand the template structure

The template has a single data sheet - Data - with the following fields:

Property Name

Name of the property. Must match the name in FLYR exactly.

Text, case-sensitive

Date

The date for the forecast entry. Daily figures are always required - monthly uploads are not supported.

YYYY-MM-DD (e.g. 2026-03-15)

Segment

The segment for the forecast entry. Required if segments are configured for the property in FLYR.

Text, case-sensitive, must match FLYR segment name exactly

Units

Forecasted room nights for the given date and segment.

Number β‰₯ 0, up to 2 decimal places

Overnight ADR

Average overnight daily rate for the given date and segment.

Number β‰₯ 0, up to 2 decimal places

Add. Revenue

Additional accommodation revenue (e.g. no-shows, day use, early departure fees) for the given date and segment.

Number, up to 2 decimal places. Can be negative.

A few things to check before uploading

  • Segment names must match FLYR exactly - the segment names in your file need to correspond to the segments configured for your property group in FLYR. Names are case-sensitive. If segments are configured in FLYR, the segment column is mandatory.

  • Always provide day-level data - monthly figures are not supported, and FLYR will not redistribute or disaggregate data automatically. Your file should always be at daily (and segment, if applicable) granularity.

  • Missing dates are treated as zero - if a date is absent from your file, FLYR will treat it as 0 Units, 0 ADR, and 0 Additional Revenue for that date.

  • The sheet is limited to 50,000 rows. If your data exceeds this, split it across multiple uploads.


How to Upload an External RMS Forecast

  1. Navigate to Settings > Planning Upload in the side navigation.

  2. Click New Upload and select External RMS Forecast as the file type. Note: This option appears alongside the existing User Forecast and Budget upload types.

  3. Attach your completed template and submit the upload.

  4. Review the upload status in the Data Upload table.

    • Successful uploads show the properties and periods updated.

    • If errors are found, FLYR provides a full error log with the type and location of each issue, so you can correct and re-upload.

Note: Past dates included in the upload file are automatically actualized.


Viewing the External RMS Forecast

In Home

Your External RMS Forecast is available as a forecast source in Home. To switch to it:

  1. Open Filters and navigate to the Additional tab.

  2. Under Forecast Source, select External RMS.

In Planning

Once an External RMS Forecast has been uploaded for a property group, you can toggle between forecast sources using Display Options:

  • Select either FLYR or External RMS as the AI Forecast source for the Forecast and Budget views.

  • A clear indicator shows which source is currently displayed.

  • When using Populate with AI Forecast, FLYR uses whichever source is currently selected - FLYR or External RMS. Units are rounded to whole numbers on population, consistent with existing behaviour.

In Insights

The External RMS Forecast is also available in Insights in the Forecast & Budgets topic, where you can easily benchmark your performance against your user forecast, budget, AI forecast as well as the External RMS.
